What Is Gmail?

Gmail or Google Mail is a free email service provided by Google that was successfully launched in 2009 after the testing trials. Ever since it has been widely accepted by users on a global scale. Almost all the email platforms allow users to create folders to distinguish various mails and store them separately. The label is a feature that has additional benefits when compared to folders and can be used by Gmail users to categorize their mails by labelling them.

These labels can be customized and named according to the user. Each mail can be assigned more than one label. Hence, to search for a mail, the different relevant labels can be specified and all such emails could be seen.

How To Create Labels On Gmail?

Follow these steps to add a label or several different labels to a particular email for better classification and grouping. 

The first step is to open Gmail and login into your personal or business account by entering the correct credentials such as username and password. Once the main screen or inbox page is opened search for the Settings option (gear-shaped icon) located at the top right corner.

Click on Settings and select the ‘See all settings’ option. From the list of options, choose the ‘Labels’ tab. Scroll to the bottom and click on the ‘Create a New Label’ option to create and add a new label.

A dialogue box would appear in which you can add the name which will address the particular label. This name can be set accordingly such that you can easily access them. Finally, choose the ‘Save’ option and save the new label. A user can create and customize any number of labels that they would want to.

How To Add A Label To An Email?

To add a label, click on the particular email and open it. Choose the label option (Tag symbol) at the top of the message. From the list of labels that are present by default and the customized ones, tick all the labels that must be added to this mail.

Several emails can be selected at once and can be easily labelled at the same time. The user can further differentiate the labels based on color by adding color to each label. The color used can be either customized or selected from the default ones. Once the label and color are assigned to the email, click on the ‘Apply’ option to save it under that category of the label.

How To Mass Delete Emails On Gmail?

Here are the 3 easy ways to mass delete emails on Gmail that you must know:

Method 1 – Delete all the emails at once

This method is used to mass delete emails in Gmail such that all the emails are deleted at the same time. To do the same follow these steps:

  • Open the Gmail account and on the inbox page, instead of ticking the checkbox of each email, click on the check box icon present above the Primary Mailbox tab. This will select all the emails.
  • Click on the ‘Trash’ icon and delete them temporarily, as they would be stored in the trash for 30 days. To delete them permanently, open the trash tab from the left side panel and delete them by clicking the “Delete Forever’ option.

Method 2 – Delete based on labels

All the mails under customized labels or other labels such as promotions, read, unread, etc. can be deleted in bulk. To delete bulk emails in Gmail  follow these steps:

  • Open the Gmail account and type – label: ‘label name’ on the search box, where you need to specify the label, for example, “label: unread” or promotions.
  • Now click on the check box icon present above the Primary Mailbox tab. This will select all the emails of that category. Thousands of emails can be selected at once using this feature.
  • Click on the ‘Trash’ icon to delete them and confirm the process by accepting the ‘confirm the bulk deletion’ dialogue box by clicking the ‘Ok’ option.

Method 3 – Save backup and delete in bulk

This is the safest method to delete bulk emails in Gmail, as it prevents any issue caused due to deletion by mistake. However, this requires the usage of a third-party tool such as Systools Gmail Backup Tool. This allows the users to choose the ‘Delete after download’ option while mass emails are deleted, which would be stored as a backup in case the user wants to retrieve any deleted email.
